Job Description

Position Overview: Alpha Epsilon Pi (AEPi), the Jewish college fraternity, is seeking a highly organized and professional Personal Assistant to provide executive-level support to the CEO. This role requires exceptional attention to detail, discretion, and the ability to thrive in a dynamic, fast-paced environment. The ideal candidate will act as a trusted partner to the CEO, ensuring seamless day-to-day operations and helping advance AEPi's mission and initiatives.

Key Responsibilities:

  • Manage the CEO's complex calendar, scheduling meetings, appointments, and events with efficiency and foresight.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Serve as a liaison between the CEO and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Handle incoming communication (emails, calls, etc.), prioritizing and escalating issues when necessary.
  • Support the CEO in organizing and tracking critical projects, ensuring deadlines and goals are met.
  • Provide administrative support during board meetings, committee meetings, and executive sessions, including taking minutes and following up on action items.
  • Anticipate the CEO's needs and proactively provide assistance to enhance productivity and effectiveness.
  • Maintain an organized system for records, files, and information relevant to the CEO's role.
  • Perform other duties and personal tasks as assigned by the CEO.

Expanded Responsibilities:

  • Stakeholder Engagement: Act as a point of contact for board members, alumni, donors, and other stakeholders, building and maintaining positive relationships on behalf of the CEO.
  • Social Media Management: Assist in curating and managing the CEO’s professional social media presence, creating engaging content, and monitoring activity to ensure alignment with organizational values.
  • Team Collaboration: Facilitate effective communication and collaboration between the CEO and various departments, ensuring alignment on organizational goals and initiatives.
  • Leadership Team Coordination: Support interactions between the CEO and the leadership team, including scheduling meetings, preparing agendas, and following up on key action items.
  • Personal Assistance: Provide support with personal tasks such as managing memberships, scheduling personal appointments, or handling other non-work-related errands, allowing the CEO to focus on strategic priorities.

Cultural Considerations:

  • Familiarity with Jewish Culture: While not mandatory, understanding Jewish traditions, holidays, and values could enhance the assistant's ability to align with AEPi's mission and better support the CEO.
  • Sensitivity to Jewish Holidays: Be mindful of the impact of holidays such as Rosh Hashanah, Yom Kippur, and Passover, as well as Shabbat (Friday evening to Saturday evening), on scheduling and operations.
  • Awareness of Dietary Laws (Kashrut): Consideration for kosher requirements may be necessary when planning meals for events or meetings.
  • Global Context: AEPi is a global organization, so cultural awareness of Jewish identity across diverse international communities may be beneficial.
  • Respect for Community and Stakeholders: The role may involve engaging with members of the Jewish community or organizations, requiring cultural sensitivity and professionalism.

Qualifications:

  • Bachelor's degree or equivalent experience in a related field.
  • Proven experience as a personal or executive assistant, preferably in a leadership support role.
  • Outstanding organizational and time-management skills.
  • Exceptional written and verbal communication abilities.
  • Discretion and confidentiality when handling sensitive information.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other productivity tools.
  • Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
  • Flexibility to adapt to changing priorities and handle multiple tasks simultaneously.

Additional Details:

  • Some evening and weekend availability may be required.
  • Familiarity with Jewish traditions, values, and culture is a plus but not mandatory.
